COMPETITION FOR THE POSITION OF EDITOR-IN-CHIEF OF “GINEKOLOGIA POLSKA” JOURNAL

PRESIDIUM OF THE BOARD OF POLISH GYNECOLOGICAL SOCIETY ANNOUNCES A COMPETITION FOR THE POSITION OF EDITOR-IN-CHIEF OF “GINEKOLOGIA POLSKA” JOURNAL

Applications should be submitted by the 31st of January 2017 (the date of receipt by the addressee) via registered mail to the following address:

An application for the Editor-in-Chief must include:
a. a description of the concept of development and operation of “Ginekologia Polska” journal,
b. CV, taking into account in particular the description of the scientific achievements of the past 5 years
and experience relevant to the functions of an Editor-in-Chief,
c. documents supporting the experience acquired by the candidate,
d. information on the command of foreign languages,
e. a statement on the availability in the performance of duties of Editor-in-Chief,
f. the contact details of the candidate (mailing address, email address, phone number),
g. the consent to the processing of personal data for the purposes of the Competition.


The announcement of the results will take place during a meeting of the General Board, scheduled on the
15th of March 2017 at 10.30 a.m.

REGULATIONS OF THE COMPETITION FOR EDITOR-IN-CHIEF OF “GINEKOLOGIA POLSKA” JOURNAL (HEREINAFTER REFERRED TO AS “COMPETITION”)

§1 Organizer

  1. The Competition is organized by Polish Gynecological Society (hereinafter referred to as “PGS”), with a head office in Warsaw, entered into the register of associations, other social and professional organizations, foundations and independent public health care under number KRS 0000128352, REGON: 010144412, Tax ID: 5261746830.
  2. The organiser can cooperate with third parties while organising the Competition.

§2 The aim of the Competition

  1. The aim of the Competition is the choice of the Editor-In-Chief of “Ginekologia Polska” journal (hereinafter referred to as “Editor-In-Chief”), the detailed responsibilities and term of office shall be specified in a cooperation agreement between the Editor-In-Chief and PGS or cooperating third party (hereinafter referred to as: “Agreement”).
  2. The provisions of the Agreement shall be in accordance with the provisions of these Regulations, as well as provide a possibility for the termination of the Agreement by the PGS or cooperating third party, without giving a reason, with a maximum of two months notice period.

§3 Term

  1. The term of office for Editor-In-Chief is determined in the Agreement and cannot last longer than 2 years from the moment of appointment.
  2. PGS General Board may adopt a resolution not to organize a new Competition and to extend the term of office of the Editor-In-Chief for a further period, not later than four months before the end of the term of the Editor-In-Chief.
  3. The Competition for the position of Editor-In-Chief should be launched no later than three months before the end of the term of office of the current Editor-In-Chief, subject to the above paragraph.
  4. In justified cases, PGS General Board may adopt a resolution to dismiss the Editor-In-Chief.
  5. In case of inability to perform the functions of the Editor-In-Chief, for any reason, a dismissal of Editor-In-Chief, the lack of resolution of the Competition for any reason, as well as not signing an Agreement, subject to §6.6 sentence 2, the PGS General Board can pass the resolution with the absolute majority of votes, can delegate the duties of Editor-In-Chief to the selected person. The Competition should be announced and settled no later than 6 months after the occurrence of one of the above-mentioned circumstances.

§4 Competition Announcement

  1. The Competition is announced by the Presidium of the PGS General Board by means of announcements in “Ginekologia Polska” journal and the PGS website.
  2.  Announcements mentioned in §1 above include:
    a. the deadline for submission of applications specified to the day and time, not earlier than one month from the publication in “Ginekologia Polska” journal,
    b. address to which applications must be sent,
    c. means for submissions — i.e. via registered mail and in electronic form,
    d. details of the requirements of the application referred to in §5,
    e. the date of the planned announcement of the Competition results,
    f. the place of publication of following regulations,
    g. the contact details of the Competition Organizer

§5 Application

  1. An application for the position of Editor-In-Chief should must include:
    a. description of the concept of development and operation of the journal “Ginekologia Polska”,
    b. CV, taking into account in particular the description of the scientific achievements of the past 5 years and experience relevant to the functions of an editor-in-chief,
    c. documents supporting the experience acquired by the candidate,
    d. information on the command of foreign languages,
    e. a statement on the availability in the performance of duties of editor-in-chief,
    f. the contact details of the candidate (mailing address, email address, phone number),
    g. the consent to the processing of personal data for the purposes of the Competition.
  2. Only the applications containing the full information referred to in paragraph 1 above will be considered. The candidate may also submit references.
  3. If no candidatures are submitted, the Presidium of the Board postpones the deadline for collecting applications. §4 shall be applied accordingly.
  4. Having checked completeness of applications, the Presidium of the General Board of PGS allows candidates to participate in the Competition and informs the candidates via e-mail about its decision and justification. The decision of the PGS General Board is final.
  5. The PGS General Board informs the members of the General Board engaged in the Competition about the candidatures via email no later than one month after the end of the collection of applications.

§6 Selection

  1. Selection of the Editor-In-Chief is performed by the PGS General Board with the majority of votes by a secret ballot, using identical voting cards or an electronic device. In case of casting votes using an electronic device, provisions of paragraphs below shall apply accordingly.
  2. The voice is given by ticking the appropriate box next to the name of the preferred candidate. A vote is invalid if more than one square is ticked or the card is returned empty. Invalid votes shall not be taken into account.
  3. At the meeting of the PGS General Board devoted to the choice of Editor-In-Chief, members of the PGS General Board can ask the candidates questions related to the subject of Competition and the information included in the applications of candidates. The presence of candidates at the meeting of the PGS General Board, referred to in the preceding sentence, is mandatory, but the candidatures of those who are absent may be put to the vote when their absence has already been justified and the PGS General Board approves it.
  4. When selecting the Editor-In-Chief, the members of the PGS General Board takes mainly into account the following criteria:
    a. experience relevant to the duties of Editor-In-Chief,
    b. the availability in the context of performing the duties of Editor-In-Chief,
    c. the concept of running and developing the journal,
    d. the command of foreign languages,
    e. answers to the questions stated by the members of the PGS General Board if applicable.
  5. In the case of equal number of votes, the chairman of the meeting of the PGS General Board orders subsequent voting for candidates who received an equal number of votes. In the case of re-equal number of votes, the vote of the chairman will decide.
  6. The Agreement shall be signed no later than one month from the date of selection. In the case when the Agreement with the chosen candidate cannot be signed due to reasons on the part of the candidate, it is possible to conclude agreement with the candidate with the second highest number of votes or to hold a new Competition. The decision in this respect shall be made by the Presidium of the Board by the majority of votes.
